Once discrepancies have been completed, the next step in your payroll process is to approve time cards. Depending on how your operation is organized, you may have one person going through all time cards, or multiple managers checking them for their own employees. Either way, the Timecard tool makes this final step before closing payroll quick and easy.
Important things to note:
The payroll item is another way of referring to a schedule item. Depending on how your discrepancies are handled, the payroll items and punches may not match. If you need more information about this, reach out to support for a full overview of discrepancy handling.
Getting Started:
To view an employee's time card, you will need to navigate to ESO Scheduler > Timekeeping > Timecards. From this page you can query based on the provided filters.
- The 'Pay Period' drop down allows you to select the applicable pay period.
- The 'Week' drop down allows you to change which week you are viewing.
- The 'Cost Center' drop down allows you to filter by the employee's home cost center.
- The 'Status' drop down allows you to view employees that have or have not approved their Time cards.
- The 'Work Group' drop down allows you to view only employees based on work groups. This option defaults to Show All.
Once you have the filters selected you will click the blue 'Query' button. This will populate the employee time cards and you can begin to review and approve.
To open and manage the time card for a specific employee you will click on the employees name which is a hyperlink to their time card.
- An employee that has no punch associated with a schedule will be indicated in a red font.
- An employee that does have a punch associated with a schedule will be indicated in a blue font.
Within the time card there are two separate sections defined.
- The green 'Weekly Time & Attendance' section displays employee punch times / records.
- The blue 'Payroll Items' section displays the scheduled hours / schedule items being sent to the payroll file.
- Note: The hour totals may not match between both sections. Completing discrepancies daily should reduce the differences.
The 'Time card Approval Status' section displays employee and supervisor approval status details. Click the 'Approve Time card' button to approve the time card; click the Exception Message button to send an employee a time card discrepancy message that requires acknowledgement.
Note: An employee does not have to approve a time card to get paid for their schedule. This tool is optional and can be used as a notation reference.
