Whether you are adding a new shift to your schedule, or updating an existing one, making changes to your shift profiles can be completed quickly and easily.
Important things to note:
Making changes or updates to an existing shift profile will not update or edit existing schedule items. Any changes made to shift profiles will only be reflected when creating a new schedule or by reprocessing the existing schedule.
Getting Started:
First navigate to ePro Scheduler > Scheduling Admin > Manage Shifts > Manage Shift Profiles.
On this page you will have the option to choose an existing shift to edit or create a shift by clicking the 'New Profile' button.
Adding a new profile:
When creating a new profile, the main information you will need to start will be the shift name and the alias. The alias will be a shortened version of the name shown in some schedule views where space is tight, so make sure you can recognize the shift from this alias.
Next you will click 'Save Profile'. This will automatically prompt you to add a shift to the profile. Here you will list the qualification, start time, template length, anchor date, and duration of the shift.
The template length is how you will determine the shift rotation. For example, if you were setting up a shift for an office worker that will work Monday-Friday each week, you would need a 7 day template length. Depending on the rotation of the shift, you might require a 3 or 9 day template length.
Once you save your changes, the shift will be added to the profile and you will be prompted again to create a shift. If you are finished adding shifts, just close the window or click 'cancel'.
Editing a shift:
To edit shift information, you will click on the pencil and paper icon for the shift you need to update. This will bring up a new window that will allow you to turn days on or off using a check box, as well as change the start time and duration if needed. Once finished making edits, click 'Save' and then 'Close' to refresh the page with your changes.
If you need to delete a shift, or change the qualification you will click on the blue link for Manage Shifts. Here you can update or delete the shift and then click 'Close'.
Adding employees to a shift:
Some shifts you may need to leave open, but for those that require specific permanent employees, you will need to add them to the profile. This typically includes anyone working the same shift each week like office workers, or anyone on a set rotation every two weeks.
To do this click on the boxes above the days that your employee will work each week, then click the person icon with a green plus sign. This will bring up a window that will allow you to assign the employee from a drop down menu. Once you click 'add', the screen will refresh with your new added employee listed in the shift.
Removing employees from a shift:
Taking an employee off of a shift only takes a moment. First click the box above the employee name and day you need to remove them from and then click the person icon with a red x. This will open a window giving you the option to remove 'All Checked Staffing' so that you can remove only the days you've marked with a check box.
You can also quickly remove an employee from all days listed by choosing their name from the drop down. Once you click 'Remove', the screen will refresh with your now open shifts.
Adding a rotation to a shift:
Adding a shift rotation can help you better visualize and organize employees and the shifts they are working. To add one, you will click the rotating arrows icon beside the shift you would like to add them. This will bring up a window that will allow you to choose your existing rotations from the drop down menu. Please note: You will only have access to rotations with a length that matches the shift length in your profile.
Removing a rotation is as easy as clicking the rotating arrows with the strike through beside the desired shift.
Helpful Tips and Tricks:
Clicking on the blue link of an employee name will show you all the shifts they have been assigned along with how they correspond with each other.
Choosing Pay Period or Month option in View By will allow you to see how the shift or rotation will look in your current schedule.
Want to quickly see if you have any shift conflicts? You can do this by navigating to ePro Scheduler > Scheduling Admin > Manage Shifts > Shift Conflict Report.
